Job Description

This is a newly created role and an excellent opportunity for a driven, motivated, experienced, and exceptionally organised individual to join our fantastic team and help us achieve our next level of growth.

As the Operational Lead, you will be responsible for delivering operational excellence. You will play a pivotal role in managing all aspects of visual product workflow and delivery across the entire organisation, ensuring that all work is resourced efficiently, produced on time, and within budget. Change management can be challenging to implement, so it is essential to build and maintain strong internal relationships across multiple teams and departments. You will work closely with our Creative, Design, Marketing, Trade, Platform, Sales, and Production teams to organise, manage, and coordinate all resources and the distribution of work to meet our business needs and those of our partners. You will be integral in providing our teams with a Project Management service, serving as the organisational hub at the heart of our business. Your primary focus will be to develop, modify as necessary, and integrate all our workflows into one seamless process.

Main Responsibilities:

* Review and develop a best-practice approach to managing and tracking workflow.

* Manage, track, and create visibility of all visual product workflows within the business at any given time.

* Oversee all resource planning and traffic management (as the team grows), ensuring that all projects are delivered efficiently, on time, and within budget.

* Ensure that all teams are appropriately resourced and that stakeholder expectations are managed and communicated effectively.

* Manage all external resource requirements, working closely with the wider teams regarding timings, skill sets, and budgets.

* Communication: Facilitate communication among team members, departments, and external partners to ensure everyone is informed and aligned.

* Develop KPIs to measure success and monitor targets to report back to the Senior Management team.

* Work closely with the Creative Director and Studio Teams to allocate studio time to maximise efficiencies.

* Recognise and anticipate potential workflow issues and either resolve them or manage expectations with key stakeholders.

* Proactively review processes and procedures to identify areas for improvement.

* Develop a reliable network of specialist freelancers to work alongside and support our internal teams, ensuring we collaborate with the best talent while negotiating the best rates.

* Risk Management: Identify potential project risks and issues and develop strategies to mitigate them.

Experience Required:
• Have a strong understanding of creative production workflows and the ability to manage multiple projects simultaneously.
• Have excellent communication and interpersonal skills, with the ability to build rapport with internal clients and colleagues.
• Have exceptional organizational and time-management skills, with the ability to prioritize effectively.
• Be solution focused – an amazing problem solver.
• Be proficient in Microsoft Office Suite and project management tools.
• In-depth knowledge of WorkFront workflow system or something similar.
